Guaranteed Prices:

 Irth Tours’ published tour prices are based on the rates known at the time of publication and are expected to be in effect at the time of departure. Once we have received your deposit, your price is guaranteed and any subsequent price increase to your particular tour is at our expense.
 

Reservations:

Make reservations well in advance to ensure you get a place on your desired trip. Choose both your package as well as the dates of your trip. A deposit will be required to secure these dates.

$150 Deposit Per Person:

A deposit of $150 must accompany all reservation requests via email or telephone with Irth Tours personnel, and/or “Book Now” option for online reservations. Please note $50 of the deposit is non-refundable for any cancellation for any reason. Discover, MasterCard, American Express, Paypal, or VISA are acceptable forms of payment. You can pay directly through our website, or we can provide you with a payment link via email.

 

Final Payment:

The final payment is due 30 days before your travel date.

 

Refunds:

If for any reason you need to cancel your trip with Irth Tours, please notify as soon as possible. Please note that when you book a trip with Irth Tours, we reserve your hotel room, transport, and excursions ahead of time. These establishments are our partners that have their own cancellation policies that we must also adhere to. Below is the Irth Tours cancellation policy:

 

• If you cancel 30 or more days from the departure date the percentage of the trip cost refunded by Irth Tours is 100% (minus admin fee).
   

• If you cancel 29 or fewer days from the departure date the percentage of the trip cost refunded by Irth Tours is 0%.

In extreme circumstances, changes to this cancellation policy may be possible at the discretion of Irth Tours directors. We recommend that all of our travelers obtain a personal insurance policy that will cover them in the case of trip/flight cancellation, interruptions to the schedule, and lost or damaged baggage.

Cancellation Policy:

Guests will receive a full refund (less $50 administration fee) if they cancel their tour reservation for any reason prior to the final payment date (30 days prior to departure). In extreme circumstances, changes to this cancellation policy may be possible at the discretion of Irth Tours directors.

 

If Irth Tours cancels travel after the final payment is due:

Guests can transfer to another trip that departs within twelve (12) months of the original scheduled departure and receive a $150 per person travel credit. If the trip the guest transfers to has a lower price, the difference will be refunded. If the tour has a higher price the balance will be due at the final payment date for the new tour.

Special Requests: Individual requests must be made when booking. Requests for special dietary needs, handicap accessible, or other room types are subject to confirmation and cannot be guaranteed.

Persons Needing Special Assistance:

Irth Tours does not provide personal attendant services. Any disability requiring special attention should be reported to us at the time you make your reservation. We will make reasonable attempts to accommodate special needs, but we are not responsible for any denial of services by hotels, restaurants, and other independent suppliers. Travelers requiring assistance must be accompanied by a companion who is capable of and is totally responsible for providing the necessary assistance.

Children On Tour:

Children under the age of 18 years of age must be accompanied by an adult

Reservation Changes:

Requests for changes of any kind should be made prior to the final payment date. A non-refundable processing fee of $50 per person will apply for any change requested prior to the final payment date and $100 per person for any change requested on or after the final payment date. These fees are in addition to any costs or penalties from suppliers.

Gratuities:

Tips for meals, excursions, transportation, or other services are at your discretion. Gratuity guidelines will be provided with your tour documents.

Health and Medical Insurance:

Irth Tours recognizes the value and importance of travel insurance for our customers. We DO NOT offer any Travel Protection Insurance for our travelers, therefore we highly recommend that you purchase a Personal Insurance Plan to protect you in the event of an accident or injury. We DO NOT endorse or recommend any specific insurance provider, so we suggest that you search for a Travel Insurance Company that has good reviews and is in good standing.

If you choose NOT to purchase medical insurance, you are confirming that you understand that you will be personally responsible for covering any costs related to accidents or injuries during your trip. This includes transport, medication, consultation, hospital fees, and any other costs related to treatment. Irth Tours will take no responsibility for any medical costs incurred as a result of injury to any of its travelers. Each traveler also should discuss any required vaccinations or medications recommended for travel to Costa Rica with their practitioner prior to their trip, as this could vary on a month to month basis

Travelers must disclose any preexisting medical conditions on the Irth Tours Medical Form prior to leaving their home country. If this is a medical condition that has the potential to pose an extra risk to the traveler or other group members during the trip, we will require a signed letter from your practitioner deeming you safe to travel. Irth Tours directors must also be made aware of any allergies, dietary restrictions or requirements, and any prescription medications that you will be carrying with you so we can do our best to ensure your safety during the trip.

 

Triple & Quad:

These accommodations are usually in rooms with two double beds. A rollaway bed or cot is subject to availability on a request basis.

Tour Documents:

Tour packets will be mailed at least ten days before your tour departure date. This material includes tour pick-up location (if applicable) and time, a tour itinerary, hotel list, and luggage tag.

Photography & Video on Tour:

Irth Tours reserves the right to take photographs and/or videos on any of its tours and to use such records for promotional and/ or commercial purposes.

Passport Required for International Travel:

(FOR INTERNATIONAL TRAVEL) U.S. citizens traveling to any destination outside of the United States will be required to present a valid U.S. passport. Passports must be valid for 6 months past the return date. Some countries require a visa for transit or entry. Passengers are responsible to ensure that they have all the proper documents for entry. All names on documents must match the legal name on your photo I.D., and travel document information must match tickets. Please check the State Department website at https://travel.state.gov for further information. Immunizations may also be required. Failure to comply with these regulations may result in denied boarding, denied entry, and/or government-imposed fines. If you are a citizen of another country, there may be additional requirements. Check with the nearest consulate or embassy of the destination you are traveling to and find out the entry requirements for non-U.S. citizens.

 

Travel Insurance:

I hereby verify that I have reviewed my travel itinerary for accuracy. I have been advised of all applicable fees by Irth Tours and the suppliers, plus I have been informed that it is in my best interest to purchase travel insurance in the event that my trip is canceled or interrupted. I understand that discounted vacation packages and fares typically involve restrictions and that changing any aspect of my travel arrangements may result in the payment of additional money.

Liability Release:​

Irth Tours offers retail travel services to customers, which are provided by separate and independent vendors of travel services. Irth Tours does not operate, control, or otherwise provide the services of independent travel vendors. Hence, the customer agrees that Irth Tours acts only as an agent for the client in acquiring transportation, hotel accommodations, sightseeing, and other privileges, or services for the clients’ benefit, and on the express condition that Irth Tours shall not be responsible for any loss, accident,  personal injury, death, delay, defect, omission or irregularity which may occur or be occasioned, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection therewith.

While hiking and exploring the beautiful topography of Costa Rica, please be aware of your surroundings and stay on designated trails to ensure you have minimum impact on the environment, its flora, and fauna. Make sure you have plenty of water, stay hydrated, and be conscious of wildlife that you may endanger, and that may endanger you as well.​
 
Irth Tours reserves the right to correct printing errors, to make any changes or alterations in the printed itineraries, dates, routings, hotels, or in included features prior to or during the tour, necessary for the smooth and efficient operation of the tour. The hotels used may change without notice. Irth Tours reserves the right to accept, decline, or retain any person as a participant of these tours.

Irth Tours and their agents act only as an agent for other parties, firms, or corporations providing services herein. No liability shall be incurred by Irth Tours, their agents, presenters, or co-sponsors because of injury, loss, delay, or other complications experienced by tour participants.

• I acknowledge that Dulce Olas Apacibles de Osa SRL, Irth Tours trademark, and any and every legal representative of them, do NOT include international airfare in their services/packages.

By agreeing to these terms and conditions, the client agrees that they have read and understood all terms and conditions prior to booking with Irth Tours. In addition, the client agrees to indemnify Irth Tours, Dulce Olas Apacibles De Osa Sociedad De Responsabilidad Limitada, Its officers, agents, owners, associates, and partners.

Legal Disclaimer:

All forms of outdoor recreation have a higher level of risk than most ordinary activities, and therefore can be potentially hazardous and/or dangerous. This includes hiking/walking trails and especially off-trail adventure hiking. Risk is always a factor in hiking and off-trail adventure hiking, especially when weather is adverse or unpredictable, or when unforeseen events or conditions create a hazardous condition. There are many risks, both natural and/or man-made, that could lead to injury or death while hiking, especially while off-trail adventure hiking.

For these reasons, it is the responsibility of our guests to learn the necessary skills for safe hiking and off-trail adventure hiking. All participants must assume responsibility for their own actions and safety, exercise sound judgment, be prepared for all conditions, and seek advice on current weather and current trail conditions. These conditions change from day to day, and from season to season.
